Approval Process

The approval process ensures that every form created in FormBN is properly reviewed before it is published. Once a form is submitted, an email notification will be sent to the assigned approver. The approver will then log in to FormBN, review the form, and decide whether to approve or reject it.

  • If approved, the form will be published and made available for use.

  • If rejected, the form will be sent back to the Form Editor for revision before it can be resubmitted for approval.

How to Approve a Form

The following steps guide you through the approval process in FormBN. Each step is supported with a screenshot to make it easier to follow.

Steps to Approve a Form:-
1. The Tenant Admin will first receive an email notification to review a form before it can be approved and published.

2. Begin by clicking on your Ministry node (Step 1). This will display all Work Approval Requests associated with your ministry.

3. Click on the Pending tab (Step 2) to view a list of all pending form requests.

4. To view the details of a request, click the Preview button (Step 3). This allows you to check the requestor's draft form before taking action.

5. Finally, click on the Approve / Reject button (Step 4) to decide the next action for the request.

6. The Tenants Admin can provide their own reason or comments for the decision (Step 5). This ensures transparency and proper documentation of the action taken.

7. Once the comments are entered, click Approve Request or Reject Request (Step 6) to finalize the decision.

8. After approving or rejecting a form, the Tenants Admin can click the Approved or Rejected tab (Step 7) to view the corresponding list of forms.

9. Once the form is approved, it will be automatically be published and can be accessed to public. 

10. If a form is rejected, the comments entered by the Tenants Admin will be sent back to the form owner/editor for revision.
