How to Create Submit Actions

Submit Actions let you decide what should happen after someone submits a form. Depending on the situation, you can:

  • Redirect the user to a different page.
  • Send an automatic email notification.
  • Apply conditions to decide different outcomes.

Redirect Page Action

This option lets you send users to another page after they submit a form.

Example Use Cases: -

  • Redirect to a “Thank you for your feedback” page.
  • Redirect to a “Next steps” page with further instructions.

Steps on How To Create Submit Action (Redirect Page): -

  1. Right-Click on Submit Actions  in your form workspace and select Create.

  1. Enter a title (e.g. Redirect User to Homepage) and click Save.

  1. Right-click  on the action you created, then select Create > Redirect Page.

  1. Enter the URL or select the page where users should be redirected. Then, click Save.

Send Email Action

This option lets you send an automatic email after a form is submitted. The email content and recipients are based on a pre-made Email Template.

Example Use Cases: -

  • Send a confirmation email to the respondent.
  • Notify a department officer when a form is submitted.

Steps on How To Create Submit Action (Send Email): -

  1. Right-Click on Submit Actions  in your form workspace and select Create.

  1. Enter a title (e.g. Send Confirmation Email) and click Save.

  1. Right-click on the action you created, then select Create > Send Email.

  1. Enter a title for the Send Email action and click Save.

  1. Select the Email Template you want to use.
    • The template defines the email content (subject, body, layout) and the recipients.

Conditional Action

This option lets you set rules so the form behaves differently depending on the answers provided. It works like an “if / else” decision.

Example Use Cases: -

  • If “Department = HR” → Send email to HR team. Otherwise → Send email to another department.
  • If “Feedback Type = Complaint” → Redirect to a complaint handling page. Otherwise → Redirect to a general thank you page.

Steps on How To Create Submit Action (Conditional): -

  1. Right-Click on Submit Actions  in your form workspace and select Create.

  1. Enter a title (e.g. Conditional Redirect) and click Save.

  1. Right-click on the action you created, then select Create > Conditional.

  1. In the Settings tab, configure:
    • Is Enabled → Switch ON to activate.

    • Match Type → Choose:

      • Any → Passes if at least one rule is true.

      • All → Passes only if all rules are true.

  1. Under Conditions, click Add Content and select the type of rule:
    • Text Field Condition Rule – checks text input.
    • Selectable Field Condition Rule – checks dropdowns or radio buttons.
    • Checkbox Field Condition Rule – checks if a box is ticked.

  1. Define the condition rule (field, operator, value) and click Create.

  1. Once all conditions are configured, click Save.

  1. True Branch (Condition Met)
    • A True branch is created automatically when you define a condition.

    • To add an action under True:

      1. Right-click on True.

      2. Select Create, then choose the Submit Action (e.g. Redirect Page).

    • Example: If the condition is true, redirect the user to a specific page.

  1. False Branch (Condition Not Met)
    • A False branch is not created by default.

    • To add it:

      1. Right-click on the Conditional action (or the condition title).

      2. Select Create > False.

      3. Enter a title for the False branch and click Save.
    • Once created, right-click on False, then select Create and choose the Submit Action (e.g. Send Email).

    • Example: If the condition is false, send an email notification.

Additional Notes:

  • Both True and False can have one or more actions.

  • This gives you flexibility: for example, if True → Redirect Page, if False → Send Email.

Notes for All Submit Actions

  • You can add more than one action. For example, after submission, the form can both redirect the user and send an email.

  • When multiple actions are added under one Submit Action, they run in order from top to bottom.

  • Conditional Actions can also be nested to build more advanced workflows.
