How to Set Show/Hide Conditions per Field

Sometimes, you may want a field to appear only when needed. For example, showing an “Other (please specify)” textbox only when a respondent selects “Others” in a checkbox list. This is done by setting Show/Hide conditions on form fields.

Steps on How to Set Show/Hide Conditions per Field: -

  1. Expand your form and open Form Content.

  1. Select the field you want to control, then go to the Conditions tab.

  1. Toggle Enable Condition to ON.

  1. Under Action, choose what should happen:
    • Show – the field will appear when the condition is met.
    • Hide – the field will disappear when the condition is met.

  1. Under When, choose how the condition should apply:
    • Any – the action happens if at least one rule is true.
    • All – the action happens only if all rules are true.

  1. Once you have enabled conditions and chosen the action (Show or Hide), you need to set the rules that decide when the action applies.

Click Add Content under Meet the following conditions. You will see three rule options:

Text Field Condition Rule

  • Use this when the condition depends on the value typed into a text field.
  • Example: Show a follow-up question only if the Name field equals “John”.
  • Configuration fields:
    • Text Field → Select which text field to check.
    • Operator → Equals, Not Equals, Contains, etc.
    • Value → Enter “John”.
    • Ignore Case → Choose whether to ignore capital letters (e.g., “john” vs “John”).

  • Selectable Field Condition Rule

    • Use this for dropdowns, radio buttons, or lists where respondents pick from given options.

    • Example: Show a textbox only if the respondent selects “Others” in a dropdown.

    • Configuration fields:

      • Selectable Field → Select the dropdown, radio, or list field.

      • Operator → Equals, Not Equals, Contains, etc.

      • Values → The specific option(s) to match (e.g., “Others”).

      • Global Values / Special Global Values → Advanced options for reusing values across multiple forms.

  • Checkbox Field Condition Rule

    • Use this when the condition depends on whether a checkbox is ticked or not.

    • Example: Show an email field only if “Subscribe to newsletter” = True.

    • Configuration fields:

      • Field → Select the checkbox field.

      • Value → True (checked) or False (unchecked).

  1. After you have added and set up all the required conditions, click Save to apply the settings.

Example: Show Textbox When “Others” is Selected

Sometimes, you may want to give respondents an extra textbox to explain further — but only when it is relevant. For example, if someone chooses “Others” when asked What type of feedback are you submitting?, you can set the form to automatically show a textbox (Please specify your feedback).

This makes the form cleaner and ensures that respondents only see fields that are necessary.

Steps to Show a Textbox When “Others” is Selected: -

  1. In your form workspace, select the field "Please specify your feedback type." (this is the textbox you want to show only when “Others” is selected).

  1. Go to the Conditions tab.

  1. Switch Enable Condition to ON.

  1. Under Action, choose Show (so the field will only appear when the condition is met).

  1. Under When, select Any (this means the action will trigger if at least one rule is true).

  1. In the section Meet the following conditions, click Add content and choose Selectable Field Condition Rule.

  1. Fill in the rule details:
    • Selectable Field → Choose What type of feedback are you submitting?

    • Operator → Select Match Any (so the rule works if at least one of the selected options matches “Others”).

      • (If you want the rule to only apply when multiple conditions are met at the same time, choose Match All instead.)

    • Values → Expand Feedback Type (from Selectable Values) and select Others.

      • Note: “Feedback Type” should already be created as a Selectable Value earlier. If it has not been created, go to Selectable Values in your form workspace, add “Feedback Type,” and include “Others” as one of the options before setting this rule.

    • Click Create to add the rule.

  1. Scroll down and set Initial State to Hide on Load (so the textbox is hidden when the form first loads).

  1. Once the rule has been configured, click Save to apply the setting.

Result: What Happens in This Example

After saving the form, you can preview it — and once published, respondents will see the following behaviour.
By default, the textbox Please specify your feedback type is hidden when the form first loads.

Case 1: “Enquiry” (or any option except Others) is selected

  • The textbox does not appear.

Case 2: “Others” is selected

  • The textbox appears automatically, allowing the respondent to provide additional details.

Important Notes for Setting Conditions

  • Always set the Initial State correctly (e.g. Hide on Load) so the field does not appear until the condition is met.

  • You can add multiple rules if you need more complex conditions.

  • Keep rules simple and clear to ensure the form remains easy for respondents to complete.
